APMPUK Privacy Policy
APMPUK is committed to ensuring that your privacy is protected. This privacy policy sets out how APMPUK uses and protects any information that you give us.
APMPUK collects and stores personal data for specified, explicit and legitimate purposes only. We do not sell, distribute or lease personal data to third parties. Data may only be shared where required by law or where necessary for event delivery (e.g., venue security).
We are committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. All personal data is stored within APMP UK–controlled systems, primarily Microsoft SharePoint, with access restricted to authorised individuals only.
Lawful Basis for Processing. APMP UK processes personal data under the following lawful bases:
- Legitimate Interests – for managing membership, stakeholder engagement, Focus Group participation, events, communications, and professional activities.
- Consent – for optional communications where required.
- Legal Obligation – where processing is necessary to comply with UK law.
We consider our legitimate interests to be reasonable, proportionate, and aligned with individuals’ expectations.
Your rights are as follows:
Right to be informed. To provide you with the services you are requesting, we may collect the following information:
- Your name, the organisation you work for and job title
- Contact information including email address
- Demographic information such as postcode, preferences and interests
- Other information relevant to the mission of APMPUK
- Participation and engagement history (e.g., events attended, Focus Group involvement).
We use this information to:
- Keep up-to-date records
- Improve our services
- Share relevant information with the host venue for security purposes
- Send you information on events, newsletters and general information on the Association
- To solicit your views on the Association
- Coordinate workstreams and professional activities within APMP UK sub-groups, including Focus Groups.
You may change your consent at any time by contacting us at support@apmpuk.co.uk, or writing to 175 Wokingham Road, Reading, Berkshire, RG6 1LT. Please mark the envelope “APMP UK”. You may also object to processing carried out under legitimate interests.
Access to personal data. Individuals can request access to their data by contacting us. The data will be provided free (unless excessive requests are made by an individual in which case a charge will be made) within one month from receipt
Rectification. If APMPUK receives information that any personal data is incorrect, we will respond within one month from receipt
Erasure. or ‘the right to be forgotten’. Individuals can request erasure of their data by contacting us. The request will be processed within one month of receipt
Restrict processing. If an individual requests that their data can be stored but not used, this will be actioned within one month of receipt
Data portability. An individual can request that their data is moved or copied from one IT environment to another. This will be completed in a safe and secure way
Objecting. An individual may object to APMPUK processing their data for direct marketing or for research and statistics purposes. Individuals may also object to processing carried out under legitimate interests.
Data Retention. Personal data on members will be held for two years after their membership lapses. Personal data on guests will be kept for two years after the last event they attended. APMPUK retains this data to permit statistical analyses. Focus Group data is reviewed periodically and deleted when no longer required for ongoing activities.
Data Breaches. A personal data breach is any incident where personal data is lost, shared incorrectly, accessed without permission, or exposed.
If a breach occurs:
- You can report it to APMPUK using databreach@apmpuk.co.uk. Include details of the breach, when you first realised it and details of the data that could be at risk
- It will be assessed promptly
- APMP UK will determine whether it must be reported to the Information Commissioner’s Office (ICO)
- Individuals affected will be informed where required
Where a breach poses a risk to individuals, APMP UK may be required to notify the ICO within 72 hours.
